Privacy notice

How we look after your information

Plain English, as promised. This is a draft and should be checked by a legal adviser before launch.

Who we are

eAIsy is a trading name of [COMPANY NAME], registered in England and Wales (company number [NUMBER]), of [ADDRESS]. We are the data controller for information collected through this website. ICO registration number: [ICO NUMBER]. Contact: [EMAIL ADDRESS].

What we collect

When you take the free AI check or sign up: your name, email, phone number, business name, website, social media addresses, your answers, any notes you write and any logo you upload. We also review publicly available information about your business, such as your website, Google profile and public social media pages. Our website uses no advertising or tracking cookies.

How we use it

To give you your instant assessment, prepare your proposal, contact you about it, and, if you sign up, set up and run your office. Our lawful bases are your consent (for the AI check) and taking steps to enter into a contract with you (for sign-up).

Use of AI

Your answers and public information about your business are processed by AI services to prepare your proposal, and every proposal is reviewed before it is sent. We use AI providers on business terms that do not use your data to train their models.

Who we share it with

Only with the service providers we need: our hosting provider in Europe, our email provider, our form provider and our AI provider. Each is bound by a data processing agreement. Some providers may process data outside the UK, under approved safeguards such as the UK International Data Transfer Agreement. We never sell your data.

How long we keep it

AI check answers for 12 months if you don't become a client. Client records for the length of the contract plus 6 years, for legal and accounting reasons.

Your rights

You can ask to see, correct, delete or move your data, object to how we use it, or withdraw consent at any time by emailing [EMAIL ADDRESS]. You can also complain to the Information Commissioner's Office at ico.org.uk.

Clients' customer data

When we run an office for a client, the client is the data controller for their customers' data and we act as their processor under a data processing agreement. See how we keep it safe.

Changes

We'll update this notice if anything changes. Last updated: [DATE].
